# Users

The Users tab is where you add staff, set their access level, and record the licences, qualifications and competencies eBoard uses to check staff allocations.

To open it, go to **Resources** → **Users**. All of the actions on this page, and access to the page itself, depend on your [access level](/getting-started/user-access-levels.md).

## The user list

* Switch between **Overview** and **Focused View** to change how much detail is shown.
* Users are listed in groups. Use **Expand All Groups** / **Collapse All Groups** to open or close them, and **Filter Staff** to search.
* Disabled users appear greyed out and in italics at the bottom of the list.

The main columns are **Username**, **Name (eBoard Name)**, **Next Reassessment**, **Licence Details**, **Qualification(s)**, **Access Level**, **Points Rating** and **Can be Assigned to Job**. These are followed by one column for each competency in your [Staff competency checklist](/eboard/settings/staff-competency-checklist.md).

The toolbar has **Competency Settings** (opens the staff competency checklist), **Export to Excel** and **Add User**.

## Add a user

1. Click **Add User**.
2. Fill in the details below. Fields marked \* are required.
3. Click **Save**.

A user can only be assigned to jobs when both **Available for TTM Work?** and **Completed Internal Health & Safety?** are ticked.

### Personal details

| **Vaccinated?**                    | Means whatever your organisation chooses. Vaccinated staff show an indicator icon in the staff picker (Super Users only).                                                                      |
| **Notes about user**               | Shown as an ⓘ hover when picking this user from a staff list.                                                                                                                                  |

| **Signature**                      | An image of the user's signature. Use a 2:1 ratio (e.g. 100 × 50 px), max 5 MB. Drop, paste or select a file.                                                                                  |

## User actions

Click the **⋮** menu at the start of a user's row:

* **View User** – see and update all of the user's details (except their password).
* **View Competencies** – see and update the user's ticks against your [staff competency checklist](/eboard/settings/staff-competency-checklist.md).
* **Reset Password** – set a new password (see [Reset a password](/how-do-i/reset-a-password.md)).
* **Disable User** / **Enable User** – a disabled user can't log in and isn't counted for billing.
* **Delete User** – removes the user, but existing references (e.g. job assignments, tasks) remain. Deleted users aren't counted for billing. This can only be reversed by a Road Direct system administrator.
* **Availability** – record leave and appointments (see below).
* **Staff documents** – view documents stored for this user.

## Record leave or unavailability

1. Click the user's **⋮** menu → **Availability**.
2. Click **Add dates unavailable**.
3. Choose a **Type**, or type a new one (for example "Annual leave").
4. Enter a **Start Date** and **End Date**, tick the days of the week to include, and click **Add Date Range**. For a single day, enter the start date and click **Add Start Date Only**.
5. Under **Unavailability Per Day**, tick **All day?** or enter a start and end time.
6. Add a **Note** if needed and click **Save**, then **Close**.

Unavailability shows in the [Staff scheduler](/eboard/staff-scheduler.md) and the staff picker, and is checked when the user is allocated to a job.
