# Vehicles

The Vehicles tab is where you add your fleet and keep each vehicle's details up to date. eBoard uses these details to check that the vehicles you allocate suit the job and the staff driving them (see [Competency](/eboard/resources/competency.md)).

To open it, go to **Resources** → **Vehicles**. All of the actions on this page, and access to the page itself, depend on your [access level](/getting-started/user-access-levels.md).

## The vehicle list

| Column                                                               | What it shows                                         |
| -------------------------------------------------------------------- | ----------------------------------------------------- |
| **Name**                                                             | Make, model and year.                                 |
| **eBoard Name**                                                      | The short name shown on the Calendar.                 |
| **Plate Number**                                                     | The registration plate.                               |
| **TTM Type (Role)**                                                  | What the vehicle is used for, e.g. TMA or sign truck. |
| **Description**                                                      | Free-text description.                                |
| **Licence Class**                                                    | The driver licence class needed to drive it.          |
| **Road Level**                                                       | The road level it's suitable for.                     |
| **Manual?**                                                          | **M** for manual transmission, **A** for automatic.   |
| **Available for TTM?**                                               | Whether it can be allocated to jobs.                  |
| **Arrow Board?** / **Working on Deck Safety System?** / **Tow Bar?** | Equipment fitted.                                     |
| **Crew Capacity** / **Cone Capacity**                                | How many crew and cones it carries.                   |

### Expiry highlighting

* A vehicle name shown in **red** with a warning icon has an expired WoF or licence (rego).
* A name shown in **orange** is due to expire soon. How far ahead you're warned is set in [Warning notices](/eboard/settings/warning-notices.md).

Hover over the warning icon to see which date has expired.

### Toolbar

* **Search** – filter the list.
* **Go to Vehicle Scheduler** – see vehicle allocations over time.
* **Go to Vehicle Check Settings** – manage the pre-start [vehicle checks](/eboard/settings/vehicle-checks.md).
* **Export to Excel** – download the vehicle list.
* **Add Vehicle** – add a new vehicle.

## Add a vehicle

1. Click **Add Vehicle**.
2. Fill in the details below. Fields marked \* are required.
3. Click **Save**.

| **Is Vehicle Registered?**                                                       | Tick for registered road vehicles.                                                                           |

| **eBoard Name**\*                                                                | Short name shown on the Calendar (max 6 characters).                                                         |
| **WoF Expiry Date** / **Licence (Rego) Expiry Date**                             | Used for expiry highlighting and warnings.                                                                   |
| **Plate Number**                                                                 | Max 10 characters.                                                                                           |
| **Description**                                                                  | Free text.                                                                                                   |
| **TTM Type (Role)**                                                              | E.g. TMA, Level 1 sign truck.                                                                                |
| **Licence**\*                                                                    | The licence class (a number) needed to drive the vehicle. Checked against each driver's licence classes.     |
| **Road Level**\*                                                                 | Checked against the road level of the job.                                                                   |
| **Manual?**                                                                      | Checked against each driver's **Competent to Drive Manual?** setting.                                        |
| **Available For TTM?**                                                           | Untick to stop the vehicle being offered for jobs (e.g. a manager's ute).                                    |
| **Has Arrow Board?** / **Has Working on Deck Safety System?** / **Has Tow Bar?** | Equipment fitted.                                                                                            |
| **Crew Capacity**\* / **Cone Capacity**\*                                        | How many crew and cones it carries.                                                                          |
| **Exclude from calendar capacity?**                                              | Leaves the vehicle out of the vehicle capacity figure in the [Day summary](/eboard/calendar/day-summary.md). |

## Vehicle actions

Click the **⋮** menu at the end of a vehicle's row:

* **View** – see all of the vehicle's details and update them.
* **Pre-start Checks** – see the pre-start checks recorded for the vehicle in the mobile app.
* **Availability** – record when the vehicle is unavailable (see below).
* **Delete** – remove the vehicle.

## Record when a vehicle is unavailable

Use this when a vehicle is being serviced, repaired or is otherwise off the road, so it isn't allocated to jobs.

1. Click the vehicle's **⋮** menu → **Availability**. Any existing unavailable dates are listed.
2. Click **Add dates unavailable**.
3. Choose a **Type**, or type a new one (for example "Servicing").
4. Enter a **Start Date** and **End Date**, tick the days of the week to include, and click **Add Date Range**. For a single day, enter the start date and click **Add Start Date Only**.
5. Under **Unavailability Per Day**, tick **All day?** or enter a start and end time.
6. Add a **Note** if needed and click **Save**, then **Close**.
