# Job booking fields

Job Booking Fields controls the job booking form: which fields staff are prompted or required to fill in, which fields appear on the shorter Express Booking form, and the choices offered in each drop-down list. This page was previously called **Dropdowns**.

To open it, go to **Settings** → **Job Booking Fields**.

{% hint style="info" %}
These settings are shared by everyone in your organisation/depot. Some options have been pre-configured by Road Direct.
{% endhint %}

## How the page is laid out

Fields are grouped in the same sections as the booking form: **Job Type**, **Booking Dates**, **Billing Information**, **Times**, **Contact**, **Job Details**, **Admin** and **Process**. You can use the search box to find a field quickly.

Each field has three settings:

| Column                     | What it means                                                                                                                                                                                                                                   |
| -------------------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Is Highly Recommended?** | A green tick means staff are prompted to fill this field in. Jobs with highly recommended fields left empty are flagged on the [Calendar](/eboard/calendar.md) and in the [Day summary](/eboard/calendar/day-summary.md) ("No Missing Fields"). |
| **Is Mandatory?** | The job can't be saved until this field is filled in. |
| **In Express Booking?** | The field appears on the Express Booking form (a shorter booking form). Express Booking is switched on in [Calendar settings](/eboard/settings/calendar.md). |

Fields with a **padlock** icon are fixed by Road Direct and can't be changed (for example Job Type, Booking Dates and Client).

## Change a field

1. Find the field and click its **⋮** menu, then **View**.
2. Tick or untick **Highly Recommended?**, **Mandatory?** and **Show in Express Mode?**.
3. If the field is a drop-down list, manage its choices under **Items**:
   * Click **Add Item** to add a choice, then enter the **Dropdown Item** (the text staff pick) and an optional **Description**.
   * Use the buttons beside each item to move it up or down, or to remove it.
4. Click **Save**, or **Cancel** to discard your changes.

{% hint style="warning" %}
Removing or renaming a drop-down item affects every future booking that uses that field, so check with your team before changing commonly used lists.
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://docs.roaddirect.co.nz/eboard/settings/job-booking-fields.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
